WorshipTools Introduction

Our hope is that these tools enable the St Andrew's church family to love one another in Jesus' name, serving, and praising Him.

Planning by WorshipTools

This is an alternative to klemi for planning rotas at church. 


Instructions for rota members:

  1. When a rota lead adds you, you will receive an email from noreply@worshiptools.com with the subject You have been invited to join "St Andrews Chelsea" , check junk/spam if you can't see it. Click the Join St Andrews Chelsea link in the email and set a password when prompted.  Do this promptly because you will not be emailed about services you are scheduled to serve on on until you accept the invite.

  2. Log in and on your dashboard, set the dates when you are unavailable to serve for the next few months.

  3. You will be emailed when you are scheduled on a rota. Click the appropriate response (accept or decline) in the email to let the leader know whether you can serve.

  4. Check the rota at planning.worshiptools.com or download the Android or IOS app to use it on mobile. If you have installed the mobile app, you will get a notification on your phone, you can edit your settings under your profile to turn off either email or mobile notifications so you don't get double notified.

  5. You can click the calendar button to get a calendar stream (google calendar or ical) so that any rotas you are signed up to will appear in your calendar. Note: Only services you have accepted will sync to your calendar, and the sync may take 12-24 hours. The Google calendar android app has a known issue with adding calendars (unrelated to WorshipTools), so if it doesn't work on an android phone, try adding it via a computer web browser first then it will appear on your phone Google calendar app. This only needs to be done once.

  1. Invite people to WorshipTools (if not already done) by clicking add person in the people tab and setting the relevant roles. You can also find people at community.worshiptools.com and add them to planning from there by editing their permissions. In planning, you can click edit on any existing person to edit the roles they can serve in. You can edit permissions to control what people can do:
    Scheduled Viewer - view services that the user has been scheduled to serve on
    Viewer - (recommended for rota members) view all services and songs
    Scheduler - view and schedule people on all services
    Editor - view and edit all services and songs, and some People settings.
    Administrator - (recommended for rota leads) view and edit all services, songs, people, permission levels, etc.
    Organization Administrator - view and edit all services, songs, people, permission levels, CCLI integration, etc.

  2. Go to the services tab to schedule people for your rota (if they don't come up, make sure you have given them the right roles). You can check for clashes by clicking the calendar icon next to someone's name when you schedule them (note there is no other method to detect clashes yet, so be careful not to double schedule). If the service doesn't exist yet, clone an existing one.

  3. Click send invites once you are ready to invite people. Users will not get invites until they accept the welcome email using the instructions above.

  4. If users are struggling to accept or decline, you can do it for them by clicking on the status icon of that position and set the status manually. Clicking the staus icon also allows your to delete the person from that role if you change your mind. 

  5. Colour codes: grey means not accepted or declined. Red means declined, green means accepted. Yellow warning triangle means they have not accepted the invite to WorshipTools yet so will not get notifications or emails.
